PlowPilot and your service business

PlowPilot is a software platform operated at getplowpilot.com. Independent snow service businesses use the platform to manage their own customers and services. PlowPilot does not provide snow removal services. Questions about a service, charge, or customer record should first go to the independent business that collected the information.

Public website analytics

On our production home, contact, privacy, terms, snow software product pages and public guides, we collect page views, device categories, browser and operating-system families, sanitized referral domains, and fixed feature-navigation, section-exposure and signup-button labels. We measure focused, visible browsing time by public page and homepage feature section, pausing after 60 seconds without interaction. Recent activity provides an approximate live visitor count, not an exact count of people. Known campaign source and medium tags are mapped to fixed source/channel categories (such as Google, social or email); unknown values become Other. Raw campaign tags and names, referral subdomains, paths, query strings, link tokens, form text, customer records and account identities are not collected in this analytics store.

The server temporarily processes the connecting IP address to derive a keyed visitor estimate that rotates at midnight Eastern Time (America/New_York, including daylight saving time). Only a masked network (IPv4 /24 or IPv6 /48) is retained for traffic review; full IP addresses and full user agents are not stored in analytics. There is no external geolocation, persistent visitor cookie, cross-day identity or connection to account registration. Shared networks can undercount and changing networks can overcount. Daily estimates cannot identify people across days or devices. Time on screen and section exposure are not proof of reading, and signup clicks are not registrations.

Authenticated PlowPilot platform-admin sessions are excluded from the website collector. Administrators can also save a browser-local exclusion preference, storing only an on/off choice; apply this on each device to exclude signed-out visits as well. This does not remove historical counts and may be lost if browser storage is cleared. Do Not Track and Global Privacy Control signals are respected by this collector. Analytics are accessible only to platform administrators and retained for up to 90 days with periodic cleanup. Collection is best-effort and does not affect use of the website. Any separately enabled hosting-provider analytics is independent and is not combined with these counts.

Information we process

We process account and verified-email information, business profile details, customer contact and service addresses, routes, service records, photos, invoices, and payment records entered by platform users. Recorded payments are bookkeeping records; PlowPilot does not claim to process the underlying payment.

Address suggestions

Online address suggestions use Google Maps Platform. As you type a street address, city, or ZIP code, the search text and relevant city, state, or ZIP context are sent through our server to Google to find matching locations. Local state-name suggestions do not require a Google lookup.

Suggestions are not saved as customer records automatically. The address you confirm and save is kept in the customer's service record. You can enter an address manually without selecting a suggestion. Please review addresses before saving.

Google's processing of lookup information is covered by the Google Privacy Policy, incorporated here for Google Maps features.

Route tools

When a crew member saves a visit completion, the app asks the device for its current location once. If permission is granted, the coordinates, device-reported accuracy and capture time are stored with the visit; if it is denied, unavailable or slow, the visit saves without them. Locations are device-reported and not certified.

After a completion syncs, our server sends the recorded device coordinates, rounded to four decimal places, to the US National Weather Service (NOAA) public API to find a nearby reporting station. The station, observation time, distance and reported values are stored with the visit. We look for observations within 50 miles (80 km) and the two hours before completion. These observations cover the United States only, are not measurements at the property, may be missing values or unavailable, and do not certify that work occurred. If no fresh device location is captured, automatic weather is unavailable.

When a business chooses route optimization, start, end, and selected service addresses are sent through our server to Google Maps Platform to calculate a suggested order. Saved route choices remain in the business's records. Estimates exclude service time and may not reflect weather or access conditions.

Photos and customer sharing

Service photos are private business records by default. A business may opt to create a customer-facing photo link for a completed service. Anyone with that link can view the shared service photos until the link expires after 30 days. The business can revoke the link earlier. Do not upload or share photos without appropriate permission.

Electronic signatures and signing evidence

When a customer signs a business's agreement through PlowPilot, we record the signer's typed or drawn signature, the signing time, the reviewed document version and fingerprint, consent and disclosure versions, and a timeline of related events (such as when the agreement was sent, when the signing link was opened, verification requests and email delivery outcomes). Link activity is not proof that a document was read, and an email provider accepting a message is not proof of inbox delivery.

For remote seasonal agreements, a one-time code is emailed to the recipient address the business entered. This confirms access to that mailbox for the signing session; it does not verify a person's identity. Codes are stored only as keyed digests, expire, and are never included in evidence exports. A temporary random browser key is kept in the signing tab's session storage to bind the code to that tab. Network information is limited to what our hosting proxy reliably provides and is labeled when unavailable; no geolocation is performed. In-person walk-up agreements record the signing business user's authenticated context instead of email verification.

Signing evidence is kept with the business's agreement records under the same retention and deletion rules as those records. Evidence records are application-managed: they are not independently certified digital signatures, trusted timestamps or notarizations. Businesses also record their acknowledgment of the PlowPilot contract-tools notice, including the user, time and notice version.

Business messages to customers

Service businesses can send one-to-one emails to customer groups they select in Messages, using their own business branding. We store the campaign content, the reviewed recipient snapshot, per-recipient send results and marketing preference records (status, source, recording user and time). Service messages go only to customers with contracted service who allow service emails. Marketing messages go only to customers the business has recorded as permitted, include an unsubscribe link and the business postal address, and an unsubscribe cannot be reversed by the business. A provider accepting a message does not mean it was delivered or read. Messages do not use tracking pixels.

Processors, storage, and support

Clerk processes authentication and verified-email account data. Resend processes platform emails and default-sender customer emails. Businesses that connect a custom sending domain use their own SendGrid account, which processes those customer emails. Business-provided email API keys are stored encrypted and are used only for that business's email connection. Business records and private files use our application database and object storage providers. Limited authorized PlowPilot administrators may access account data when needed for support, security, or platform operations.

The app may keep account-specific records and pending service completions in browser storage during connection interruptions. Protect devices and browser profiles that can access the account.
